Everything you need to know about moving into your new home.

September 2024 arrivals

Moving in day is always an exciting time. In September, we look forward to thousands of new students joining us. To allow a smooth and safe arrival during such a busy period,we ask that you:

  • Ensure you have completed all essential 'before you arrive' steps.
  • Check that you and anyone helping you to move in are familiar with the 'arriving and collecting your keys' instructions for your residence.

Before you arrive

You must complete these essential steps before you arrive.

Book arrival slot You should have booked your arrival slot. If you haven’t, you can book via the accommodation portal.
Key Collection Pass When you book your arrival slot, a Key Collection Pass will be generated for you to download.
Bring your photo ID You will need to show this to our staff, along with your Key Collection Pass to get your keys
Arriving in a vehicle
  • Vans/trailers or additional cars are not permitted due to limited space.
  • Newcastle has recently introduced a ‘Clean Air Zone’. You can see if your vehicle is affected here.
  • Parking spaces are limited; therefore, we are strictly unable to allow multiple visits on the main arrival days. To ensure other students can arrive safely and promptly, vehicles will not be allowed to return to the accommodation once you have completed your visit during your allocated time.
Food shops/deliveries
  • Please do not book any parcel or food deliveries during your accommodation’s main arrivals period. Space for vehicles is limited to ensure students can safely and comfortably arrive, therefore access for couriers and supermarket delivery vehicles will be restricted.
  • We appreciate that the first ‘big shop’ is a university tradition, but would recommend buying supplies in advance, or bringing any shopping to your accommodation outside of the main arrivals windows (after 17.00).
Bringing your car or bike to university
  • Bicycle storage and car parking can be extremely popular. Due to its limited availability we would strongly advise booking this in advance

When you arrive:
  • If you are arriving by car, enter Bowsden Court via Bowsden Terrace. Find a spot to park in the car park and then head to the reception building.
  • Collect your keys from reception where a member of staff will be available to greet you. Please make sure you have your photographic ID and Key Collection Pass ready to show them. They will give you your key pack and provide directions to your accommodation building.
Arriving outside of the main arrival dates/times?
  • Please refer to our Out of Hours Key Collection guidance for Bowsden Court.
  • You'll need to contact Estate Security Service on +44 (0) 191 208 6817 or via the help point located next to the reception entrance. Our Security team will then meet you at Bowsden Court to issue you with your keys.
Arriving after 15 September?

If you arrive after 15 September and outside of the usual reception opening hours (Monday - Friday, 08:00 - 12.00), please contact Estate Security Service using the above details.

If you arrive during the time period stated above, please make your way to Windsor Terrace reception during your pre-booked arrival time.

When you arrive
  • Arrive via Windsor Terrace where a member of staff will greet you and let you know where to park.
  • Once you have parked, make your way on foot to the marquee located on Windsor Terrace to collect your keys. Please have your photographic ID and key collection pass ready to show us and we will provide you with your key pack and direct you to your accommodation building.
  • We’ll then ask you to unload your car straight away. Please also note, that a driver must always stay with the vehicle in case we need to ask for it to be moved.
  • Once you've unloaded your car, we’ll ask you to move your car to an alternative parking location, so that there is space for other students to move in. We’ll suggest nearby parking locations on the day, but if your prefer, you can plan in advance using the information here.
Arriving outside of the main arrival dates/times?
  • Please refer to out of hours key collection guidance for Jesmond Road and Windsor Terrace.
  • If you arrive outside of the main arrival dates or times, keys should be collected from Kensington Terrace reception. Reception opening hours are Monday - Friday, 08:00 - 17:45.
  • If you arrive outside of reception opening hours, please contact our Estate Security Service on +44 (0) 191 208 6817 or via the help point located next to the Kensinton Terrace reception entrance. Our Security team will then meet you to issue you with your keys.

Please note that the Barras building is your key collection point only. For all enquiries after you have collected your key, you should contact Kensington Terrace reception.

When you arrive:
  • Use the buzzer outside the entrance to let the Estate Security Team know you have arrived. A member of the Estate Security Team will greet you and ask to see your photographic ID and key collection pass.
  • Follow the instructions provided by the member of staff who will provide your key pack and give directions to help you find your room. You can then make the short two-minute walk to your accommodation at the address below:

Please note there is no parking onsite. There are almost 10,000 spaces in public car parks across the city centre. Once you have parked, make your way on foot to the Ground Floor of the Barras Building.

If you arrive from 22 September onwards, your key collection point will be Kensington Terrace reception.

  • Once you have parked, make your way on foot to the marquee located outside of Kensington Terrace reception to collect your keys. Please have your photo ID and Key Collection Pass ready.
  • A member of staff will provide you with your key pack and give you directions to your accommodation building. 
  • We’ll then ask you to unload your car straight away. Please also note, that a driver must always stay with the vehicle in case we need to ask for it to be moved.
  • Once you've unloaded your car, we’ll ask you to move your car to an alternative parking location, so that there is space for other students to move in. We’ll suggest nearby parking locations on the day, but if you prefer, you can plan in advance using the information here.
  • Once you’ve parked your car nearby, you can then return to your accommodation to start unpacking and settling into your new home at your leisure.

  • If you arrive outside of the main arrivals dates and times, you can collect your key from Kensington Terrace reception during opening hours, 08.30 to 17.45, Monday to Friday.

When you arrive:
  • If you are arriving by car, access the site from the Richardson Road entrance. You will be greeted in your vehicle by a member of staff just after the site entrance. 
  • Please have your photo ID and Key Collection Pass ready to show them. They will provide you with your key pack and you will be guided to your drop off point.
  • We’ll then ask you to unload your car straight away (don’t worry, we’ll have people to help you to unload). Please also note, that a driver must always stay with the vehicle in case we need to ask for it to be moved.
  • We’ll ask you to move your car to an alternative parking location, so that there is space for other students to move in. We’ll suggest nearby parking locations on the day, but if you prefer, you can plan in advance using the information here.
  • Once you’ve parked your car nearby, you can then return to your accommodation to start unpacking and settling into your new home at your leisure.

  • If you arrive outside of the main arrivals dates and times, you can collect your key from Park View reception. Reception opening hours are Monday - Friday, 08:30 - 17:45.
  • If you arrive outside of reception opening hours, please refer to our out of hours key collection guidance for Park View and Marris House. You will need to contact Estate Security Service on +44 (0) 191 208 6817 or via the help point located next to the reception entrance. Our Security team will then meet you to issue you with your keys.

There is no on site parking at Newgate Court. You'll be able to unload your belongings in the loading bay at the front of the building. You can collect your keys from the reception desk. This key fob is for your flat, rooms and communal areas.

When you arrive:

There is limited parking available for check-in. You'll be able to park for 15 minutes so you can unload your belongings. You can collect your keys from the reception desk. This key fob is for your flat and room. It will also give you access to the gates, reception and social spaces.

If you're arriving outside of our staffed arival hours, that's no problem. Please refer to the out of hours key collection guidance for your residence. We recommend downloading this to your mobile device or printing it off.


Your questions answered

What should I bring when moving into Newcastle University accommodation?

The items you will need to bring when moving into your room will differ depending on which accommodation you have been assigned. Here is a general list of items that you may need:

  • essential Documents - ID, passport, bank card,
  • your National Insurance number
  • clothes
  • necessary medicine, plasters, etc.
  • hygiene products (toothbrush, hairbrush, soap, etc.)
  • towels
  • bedding (pillow, duvet, sheet)
  • tea towels
  • laundry basket
  • cutlery, pots and pans
  • coat hangers
  • laptop
  • chargers
  • alarm clock
  • items to personalise - cushions, bed throw, battery-operated fairy lights, photo frames
What shouldn’t I bring when moving into Newcastle University accommodation?

There are also a few general items you should not bring with you when moving into your accommodation. Here are a few listed:

  • a pet (unless a service dog)
  • loud instruments
  • a BBQ
  • candles 
  • kettles, toasters, microwaves
  • portable heater
  • mains-powered fairy lights
  • mini fridge (if you need a mini fridge for medical reasons, please get in touch with us)
  • furniture
I am an international student, will I receive an arrival pack?

Bedding and soft furnishings are not included in your room. All our accommodation is self-catered, and you will have access to an equipped kitchen. You will need to bring your own crockery, cutlery, utensils and pots and pans. You can pre-order bedding and kitchen essentials from UniKitOut. Simply select the items you need and UniKitOut will deliver these straight to us before your arrival. Alternatively, we are a city centre university, with many shops nearby that you would be able to purchase these items from.
