PASS common queries

You can use our FAQs below to answer some of the common queries regarding the PARTNERS Academic Summer School.

I can't find my travel tickets and/or booking confirmation. What should I do?

Your travel booking confirmation has been sent to the email address that you provided to the PARTNERS Team via your UCAS Form. Please make sure to search your inbox and junk/spam folder for an email from 'academicsummerschool@ncl.ac.uk'. The subject of the email will be 'Your PARTNERS Summer School travel details'.

Flight bookings

You'll need to follow the instructions in your email to check in to your flight and get your boarding information. Your boarding information will then be available as a PDF and/or printable ticket.

Use the airline locator reference and your surname to access your flight booking on the airline's website (usually on the manage my booking page). Follow the instructions to check-in and download board cards to PDF for mobile device.

Train bookings

Your confirmation email will contain a link to access your ticket details.

E-ticket confirmations contain a link to either download your ticket and print a copy off. Download them to your mobile device and present them to the ticket barrier to get on the platform and on the train.

I can't log in to Canvas or my Newcastle University email account because of the authenticator requirement, what do I do?

If you are still experiencing issues, please contact the IT Service Desk or via phone on 0191 208 5999. Make sure to let the IT team know that you are a PARTNERS student attending the summer school.

My account has been locked and I can't access either Canvas and/or my email account. What should I do?

If you're locked out your account due to too many password attempts, IT have advised this should unlock within 30 minutes. Please wait 30 minutes before contacting them.

The PARTNERS team are unable to reactivate locked student accounts. The University's IT support team can do this for you.

Please contact the IT Service Desk or via phone on 0191 208 5999, making sure to quote your email address and username, that have been supplied via email.

My password for Canvas and/or my Newcastle University email account is not working. What should I do?

Please make sure to enter the password given in the format outlined in your welcome email. Make sure to include your date of birth in an eight-digit format, with no spaces. Please also remember that the password is case-sensitive.

For example, if your date of birth is 12 March 2003 and your given password is TableBananaLamp, you should enter your password in the following format:

If this still isn't working, please contact the IT Service Desk or 0191 208 5999, making sure to quote your email address and username that have been supplied via email.

My timetable says that I have personal study/reading time, but I don't know what to do?

Check your academic Canvas course for more details. If you're still not sure, get in touch with your academic strand leader and ask for more information.

When do I register for my on-campus days?

Registration will take place in the Boiler House, at Newcastle University’s main campus.

Check your academic timetable to find out which days you're on-campus, this will indicate when your registration is:

  • Sunday 30 June, 13:00 - 16:00: On-campus Sunday, Monday and Tuesday
  • Wednesday 3 July, 13:00 - 16:00: On-campus Wednesday, Thursday and Friday
How do I successfully complete the Summer School?

Visit our PASS results page, which details exactly what you need to do to successfully complete the Summer School.

What is compulsory and what is optional?

Check the key on your timetable to see which sessions are compulsory. Attendance at these sessions will be monitored and if you miss any, the PARTNERS team will be in touch to ask for evidence of why you were absent.

Do I have to go to all the social activities?

To make the most of your experience on PASS, we recommend you try to attend some social activities. It will help you to get a full insight into student life at Newcastle.

There'll be a range of events to suit everyone. However, we understand students may wish not to attend activities. Instead you are welcome to socialise in the accommodation facilities, as attendance is not compulsory for social activities.

I can't access Canvas/my login isn't working

If you've made Newcastle University your Firm Choice via PARTNERS and you've completed your Code of Conduct, you will receive your login details on Monday 24 June 2024.

If you've done both of the above, check your email inbox (and spam/junk folders) for an email from the PARTNERS team. The email will be received from academicsummerschool@ncl.ac.uk. If you can't find your login details (or they simply don't work), please contact the PARTNER team via the helpdesk.

If you've made Newcastle University your Firm Choice via PARTNERS, but still need to complete your Attendee Code of Conduct, you can do so via the following address: Attendee Code of Conduct.

I can't attend all days of the Summer School because of a holiday/trip/other reason. What should I do?

Attendance for the entirety of PASS (30 June -5 July) is compulsory.

Absences will only be granted in exceptional circumstances, with evidence such as a doctor's note or hospital appointment letter. Holidays or trips will not be considered legitimate reasons and will be recorded as unauthorised absences. If you miss a day of PASS without good reason, this could impact your successful completion of the Summer School, and jeopardise your lower conditional PARTNERS offer.

How long do I have to request accommodation? What is the deadline to request my travel and/or accommodation?

You have until Friday 24 May 2024 to complete the Accommodation and Travel Request Form. This will be sent to any eligible student via email.

If you complete the form after this time, we will be unable to provide accommodation for you during the on-campus days of the Summer School. You will have to organise to book your own travel to campus in time for registration on the first day of the Summer School, between 13:00 - 16:00. 

If you book your own travel you will need to complete a Travel Reimbursement Claim Form during your on campus days of PASS. We can reimburse you for this after the Summer School. Please note, for any travel claims over £25. you may be waiting until the end of September 2024 to receive the funds into your bank account. 

Where will I be staying in accommodation?

If you have completed the Travel and Accommodation Request Form, your ensuite room in Park View Student Village will be reserved for the duration of your on-campus days. This will be free of charge.

I've not yet made my final university choices, should I still request accommodation and travel?

You have until your UCAS decision deadline to complete the travel and accommodation form for the event. If you received all your university decisions by 16 May 2024, you have until Thursday 6 June 2024 to select your firm choice University.

The accommodation and travel request form will be sent to eligible students via email.

Note: attendance at the PARTNERS Academic Summer School is for students who have made Newcastle University their Firm Choice via UCAS only.

Can I be with my friends in the halls of residence?

Unfortunately, we're unable to make any guarantees of who will be on the same floor as you in the accommodation blocks during PASS.

Only PARTNERS students will be residing in the accommodation. You'll have plenty of opportunities during the day, and in social activities to chat to your friends and other PARTNERS students too.

I've made Newcastle my firm choice on UCAS so why haven't I received an email to confirm my subject strand?

We'll be sending out weekly emails to confirm subject strands and timetables to any new Firm Choice offer holders. Look out for more information about your subject strand landing in your inbox within a week.

Can I use University study facilities during my online days?

Yes you will have access. However please note, there will be no accommodation/catering vouchers or travel available for this.

Can I fail the Summer School?

If you follow the guidance from your strand leader and submit the assessment as directed, you will not fail.

You should receive written academic feedback (both positive and constructive) and may receive a mark or a score.

The feedback and marking are designed to give you a valuable head start on your course when you hopefully enroll in September 2024.

Out of 1613 attendees at PASS 2023, 96% of students successfully completed the Summer School.

How do I get my travel costs reimbursed?

If you choose to book your own travel, we can reimburse your travel costs to and from the University, providing that you travel by the most reasonable method possible. Please be aware that you may be waiting to receive the funds up until the end of September 2024.

If you're not local, we will pay for one return journey. You will need to fill out a Travel Reimbursement Claim Form during your on campus day of PASS.

If you're local, we will pay for each day you need to travel to the university for compulsory on-campus activities. We can reimburse local travel in cash up to £25 during your on campus day of PASS.

General Election 2024

The General Election in the United Kingdom is taking place on Thursday 4th July. Polling stations will be open from 7am until 10pm on 4th July so you should have time to vote around your commitments to the Summer School. Absences from compulsory sessions will not be authorised.

If you will be away from home and on campus on 4th July we encourage you to register for a postal vote via this website - https://www.gov.uk/apply-postal-vote

The deadline to apply for a postal vote is 5pm on Wednesday 19th June 2024.
