What to expect during your campus days of PASS

On campus days

2.5 days of the PARTNERS Academic Summer School will take place in person at Newcastle University. These days are compulsory to attend in order to meet the conditions of your reduced offer. Your on campus days will host a variety of subject-specific sessions including: lectures, seminars, lab work and even field trips for some subject strands. Typical on-campus sessions may include:

  • undergraduate lectures
  • group research and presentation delivery
  • practical projects
  • use of subject-specific facilities

PASS HQ is our central location on campus where you'll find registration, PASS helpdesk, travel expenses desk and a safe space to take a break.

Student reps and the central PARTNERS team will be available at from 09:00 - 17:00 each day of the summer school. You'll also get to explore our beautiful, historic campus at the same time, we can't wait to welcome you in person.

Travel to campus

No matter how you arrive to campus, PASS student reps will be waiting to welcome and direct you to registration. We will also be in touch the week before with final location details, campus maps and directions.

PASS commuters

If you live local to Newcastle and can reasonably commute to PASS on the campus days for a 09:00 start, we expect you to organise your own travel. This means you are eligible to get your journey to and from the summer school reimbursed each day. There will be an expenses desk where you can claim back cash for local bus, metro and train tickets, up to £25. Please ensure to bring proof of purchase (e.g. receipts, tickets).

Pre-booked travel

If you're eligible for a pre-booked train or plane journey for your on campus days of PASS, we will contact you to organise this on your behalf.

If you choose to book your own travel, we can reimburse your travel costs to and from the University, providing that you travel by the most reasonable method possible. Please be aware that you may be waiting until September 2024 to receive any reimbursements over £25. You must complete a Travel Reimbursement Claim Form during your campus days of PASS to organise this.

We can arrange and pay, or reimburse you, for one return journey.

If you choose to travel in each day, rather than stay in the accommodation we have booked for you, we will only be able to reimburse you for the journeys stated above. This is due to costs incurred for your reserved room.

Once we've heard back from your about travel arrangement, the PARTNERS team will book and send over your tickets via email or post.

Getting here

Travelling by Metro

The University can easily be reached from Newcastle Central Station using the Metro. Haymarket Metro station is opposite the campus and only two stops from Central Station.

Travelling by bus

Haymarket bus station is a 5 minute walk away and the closest bus station to campus. As the University is based in the city centre, there are multiple ways to get here by bus if you live close by. Most bus stops will be a short walk to campus!

Travelling by train

Newcastle Central Station is on the east coast main line and directly accessible from London King's Cross, Glasgow and Edinburgh. The campus is approximately 18 minutes' walk from the train station.

Travelling by Plane

Newcastle Airport is about seven miles from the University, and is linked to the city centre via Metro.

There are regular flights to UK cities including Aberdeen, Belfast, Bristol and Exeter.

Accommodation

If we're able to offer you University accommodation for the on campus element of PASS, you will have received an email with instructions on how to organise this.

All eligible students will be offered two nights accommodation. If we have contacted you to organise this, you have until Friday 24 May 2024 to get back to us. If we don’t hear from you after that point, we will assume that you do not require any accommodation or travel booking for PASS. You will need to organise your own transport to the University to be reimbursed after the Summer School has taken place.

Where will I be staying?
Park View is a Newcastle University owned student halls of residence. It's a 10 minute walk from the Student’s Union and our central location 'PASS HQ'. These modern halls are made up of spacious four to eight bedroom flats, with your own double ensuite bedroom. Each flat also offers a communal area for socialising. 
 
There is also wheelchair accessible rooms with adaptations that include:
  • power-assisted doors
  • wheelchair accessible lifts
  • low-level kitchen work surfaces
  • accessible storage
  • wet rooms equipped with shower chairs, handrails and emergency pull cords
 
Your meals

Your meals will be catered for, so there is no need to bring any food or cooking equipment with you to PASS, as you won't need to use the kitchen. All students, regardless of staying in accommodation, will be offered lunch vouchers that can be used at various food outlets on campus.

Under 18's

If you will be under 18 years old at any point of time during PASS (i.e. your DOB is 30/06/2006 or later) and will be staying in our University Accommodation, you are required to complete the below in addition to the general Code of Conduct.

  1. Read your Code of Conduct: PASS 2024: Under 18 CoC
  2. Complete the form‌ - this needs to be printed and signed by a parent or guardian.
  3. Return it to us via post, address: The PARTNERS Team, Kings Gate, Newcastle University, NE1 7RU OR
  4. Scan and email it back to us via: academicsummerschool@ncl.ac.uk  

 

Social activities

Hosted by our team of student reps, the optional social activities are free of charge and available to all PARTNERS students during the Summer School. We encourage students to take part as much as possible.

Wellbeing support

There will be plenty of support for your mental health and wellbeing while you are on campus during PASS. Informal drop in appointments with Newcastle University's Student Wellbeing Team will be hosted over lunch time, both virtual and in person. 

The PARTNERS Team and our student reps will also be available for online and in person support via the helpdesk each day. If you feel you need a bit of time out at any point, there will be a designated quiet space at PASS HQ.
