Leaving Us

Whether you're at the end of your contract, or leaving early, we’re here to help.

Moving out

We hope you've had a brilliant time living in accommodation but all good things must come to an end and you'll need to move out when your contract ends. Don't worry, you'll receive a departure email from our Customer Services team with everything you need to know about the moving out process. 

You're responsible for leaving your accommodation in the same condition as when you arrived - use our handy Departure Checklist to make sure that you have done everything you need to before you leave us.

Can I leave any belongings?

When leaving your accommodation, it is vital that you take all of your belongings with you. You're responsible for making sure the room is left empty so that our team can make sure your room is thoroughly cleaned for the next tenant. 

If you have belongings or food that you no longer need, consider donating them. We work with the British Heart Foundation to collect supplies every year. We also collaborate with local food banks to collect unopened, long-life items and the Students' Union organises the "Leave Newcastle Happy" initiative, which limits waste.

Items you can donate

In your student village’s reception area you should see a British Heart Foundation 'Pack for Good' box. There are lots of things you can donate to this such as:

  • Unwanted clothes
  • Shoes
  • Accessories
  • Books
  • CDs/DVDs
  • Small electrical items
  • Home/Kitchenware

 

Leftover food

Any unopened, non-perishable food can be donated. Come down to your student village’s ResLife space during its opening hours and put it in our boxes. We will then donate what we can to food banks. The kind of things we are looking for are:

  • Tinned fruit
  • Instant mash/tinned potatoes
  • Tea/coffee
  • Soup (tins)
  • Cereal
  • Tinned meat
  • Rice
  • Pasta
Bicycles

Newcastle University doesn’t accept bikes but don’t worry, there are places still to donate them. Check out Recyke Y’Bike in Byker. They accept all bikes, no matter their quality!

Items you cannot donate

Some items we cannot accept due to health & safety, these include: 

  • broken or dirty items
  • duvets
  • pillows
  • knives
  • hangers
  • helmets

Leaving early

Your contract with us does not include a notice period. This means that if you decide to leave early, you'll be responsible for paying rent until the contract ends. If you find someone to replace you and move into your room, they can take over your contract and payments (if they are not already contracted for University accommodation). Find out more about this in the Residences Handbook 23-24.

What we will do

If we know of anyone looking for a room in your residence then we may be able to help you find a suitable replacement to take over your tenancy. Although we will try to help, the responsibility to find a replacement remains with you.

What you need to do

To start the process, you must submit a re-let form to notify us that you wish to end your contract. To request the re-let form, email allocations-enquiries@ncl.ac.uk. 

You're responsible for paying rent till the end of your contract. If a replacement tenant is found, you'll be relieved of your tenancy as of the start of their new contract. There is a £50 admin fee for the takeover. Your rent will be adjusted based on full value, and any overpayment will be refunded.

Withdrawing from University

If you withdraw from the University, it is your responsibility to let us know. Your school won't tell us, so you need to keep us informed. Liability terms vary for students living in partnership accommodation. Contact your accommodation provider for more information.

What we will do

We only end contracts if you're no longer a registered student at Newcastle University. If you withdraw, you'll be charged full rent for the termly billing period. The termly billing periods are:

  • 17 September 2023 – 6 January 2024
  • 7 January 2024 – 20 April 2024
  • 21 April 2024 – 22 June 2024*
  • 23 June 2024 – 25 August 2024

(*Castle Leazes contract runs to 9 June 2024)

What you need to do

Notify us of your withdrawal by completing our re-let form. To request the re-let form, email allocations-enquiries@ncl.ac.uk. Check out of your room before the end of the termly billing period to ensure you will be released from the contract at that time.
