Library advice for final year undergraduates

If you’ve finished your studies and are leaving Newcastle, don't forget to return your library books before you go! As well as all our libraries, you can return your books to the Students Union, Dame Margaret Barbour Building and Frederick Douglass Centre.

Most final year undergraduate library borrowing rights will expire on the 7th June 2024. Your University smartcard will remain active until the end of September, so you can continue to access all our Library buildings and online resources.

Of course there may be circumstances whereby you still need your books over the summer to complete your studies. These frequently asked questions may help you.

Can my Library membership be extended over the summer vacation if I have a PEC form?

Schools will usually copy the Library into any PEC outcome emails, to provide us with details of summer extensions. This allows us to manually adjust your borrowing rights. If your Library account has not been adjusted please ask your school administrators to email Library Help with the following title and information:

Title:  Student Extension Confirmation for Academic year 2023/24

Email text must include the following information:

  • your name and student number
  • confirmation you need the ability to loan library books extended to a new hand in date (as agreed and what is stated on your PEC)

Once we are in receipt of the above information your Library membership will be adjusted manually and your books renewed.

What do I do if I have a resit examination(s) or my hand in date is later in the summer?

Your deferred assessment or resit status must be recorded on S3P/SAP for any automatic changes to be made to your Library account. If you are unsure whether this has been done, please double check with your School administration office first.  Your school administrators can contact the Student Progress/Data Management team for help if they are unsure how to do this. 

If you are waiting for your deferral agreement from a board of studies, please contact Library Help or attend the Philip Robinson Library or Walton Library in person during desk services opening hours and your borrowing rights can be temporarily amended until the automatic data feed comes through.

I am starting a new course at Newcastle University next academic year. Can I continue to borrow books over the summer?

If you have an unconditional offer for a new course in September, we can extend your borrowing rights until your start date. You will need to provide one of the following:

  • proof that you have been accepted onto a course in September 
  • letter of acceptance from the School you will be part of
  • proof of registration on Student Portal/SAP as an “applicant”

Contact Library Help, visit the Philip Robinson Library or Walton Library in person during desk services hours to have your borrowing rights amended.  

I would like to continue to use the Library whilst I am preparing a research proposal during the summer. What do I need to do?

Your smartcard will remain active until the end of September which will allow you to continue to use any of the Library’s study spaces and online resources. If you also need to borrow from our print collections we can extend your borrowing rights up until the end of September. You will need provide proof that you are continuing with a new course or preparing a research proposal. Please ask your tutor or School Office to email LibraryHelp@ncl.ac.uk with the following information:

Title:  Student Extension Confirmation for Academic year 2023/24

Email text must include

  • Your name and student number
  • Confirmation that you are writing a proposal and will need library borrowing until a specific date in the summer vacation. 

Once we are in receipt of the above information your membership will be adjusted manually and your Library books renewed.
